# Onboarding new clients
## Give new clients a smooth start: a welcome message, intake forms completed before the first visit, and clear expectations.
Good onboarding means your client arrives at their first appointment knowing what to expect, with their intake form already done. In HealthBank you set this up once and it runs for every new client.
**The onboarding flow**
1. **Client books** through your booking link or you book them in. (see [How do I book a new appointment for a client?](https://help.healthbank.io/how-do-i-book/propose-a-new-appointment-for-a-patient-new?hsLang=en))
2. **They get a confirmation email and reminders** automatically.
3. **They complete your intake form** before the appointment, and it's saved to their Health Record. (see [How do I send a form to a client?](https://help.healthbank.io/creating-a-form-and-attaching-it-to-appointments?hsLang=en))
4. **They join** in person or by video from the HealthBank app or their dashboard.
**Forms to set up**
| Form | When to use it | What to include |
| --- | --- | --- |
| Intake form | Before the first appointment | Medical history, medications and supplements, allergies, symptoms, goals |
| Short intake form | One-off or short consults | Contact details, reason for visit, key history |
| Food and lifestyle diary (dietitians) | Before or between visits | Meals, sleep, stress and activity; ask for photos |
| Discovery call questions | Before a free intro call | Contact details, what they need help with, whether you're the right fit |

**Your welcome message** should cover what happens in the first session, how to prepare, how to join by video, your cancellation policy and how to contact you.
