How Do Client Payments Work in HealthBank?

Managing payments in HealthBank is designed to be as seamless as possible for both you and your clients. Here's everything you need to know about how the payment process works.

Automated Payments

If your client has a credit card saved on file, HealthBank will automatically attempt to charge their card 24 hours before their scheduled appointment. This means you don't need to manually chase payment — the system handles it for you in the background.

If the automatic charge is successful, the payment will be reflected on the invoice and in your payouts without any action required from you.

What Happens if the Automatic Payment Fails?

If there is an issue with the client's card — for example, insufficient funds or an expired card — the automatic charge will not go through. In this case, you have the ability to collect payment manually on the day of the appointment.

Free Appointments

You can set an appointment as free of charge for your client at any time. This is the recommended approach if you do not wish to charge a client for a particular appointment — for example, a courtesy follow-up.

Important: Even when an appointment is set to free, a $1.00 booking fee will be deducted from your payouts by HealthBank. This fee is not passed on to the client.
